Terms of Service

These Terms govern your use of the review management services provided by Bhuwan Kshetri, trading as ReviewFlow NZ, a sole trader based in Hastings, Hawke's Bay, New Zealand. By using our services, you (the Client) agree to these Terms.

1. The Service

ReviewFlow NZ provides a done-for-you Google review management service for local businesses. This includes:

Sending automated Google review requests to your customers by email and SMS after a job or service
Retrieving your Google reviews via the Google Business Profile API and displaying them in your ReviewFlow NZ dashboard
Generating AI-drafted replies to your reviews in your tone
Posting approved replies to your Google Business Profile on your behalf
Reporting on your review performance over time

2. Eligibility and Your Google Business Profile

To use ReviewFlow NZ, you must own, or be lawfully authorised to manage, the Google Business Profile you connect to our service. You confirm that you have the right to grant us access to that profile and to authorise the actions described in these Terms.

3. Authorisation to Access and Manage Your Reviews

By connecting your Google Business Profile to ReviewFlow NZ and accepting these Terms, you expressly authorise ReviewFlow NZ to:

Access your Google Business Profile review data (including reviews, ratings, review text, reviewer display names, and reply status) via the Google Business Profile API
Draft suggested replies to your reviews on your behalf
Post replies to reviews on your Google Business Profile on your behalf, in your business's name

You control how replies are approved. You may choose to approve each reply yourself before it is posted, or authorise our team to review and post replies on your behalf. No reply is posted to your Google Business Profile without approval under the method you have chosen.

You may withdraw this authorisation at any time by disconnecting your Google Business Profile from ReviewFlow NZ or by contacting us, after which we will stop accessing your Google data and stop posting on your behalf.

4. Your Responsibilities

Provide accurate customer contact details that you are lawfully entitled to share with us
Ensure you have a lawful basis under the New Zealand Privacy Act 2020 to provide customer personal information to us for the purpose of sending review requests
Use ReviewFlow NZ only for genuine customers who have had a real transaction or service with your business
Not use ReviewFlow NZ to solicit fake reviews, offer incentives for reviews, or screen customers before they reach Google ("review gating")

5. Compliance With Google Policies

ReviewFlow NZ operates in accordance with Google's Business Profile policies and the Google API Services User Data Policy. You agree that your use of the service must also comply with these policies. We may decline to send a request, draft a reply, or take any action that would breach Google's policies or applicable law.

6. Fees and Payment

Fees for ReviewFlow NZ are as set out in your plan or as agreed with us in writing. Fees are payable in advance for each billing period unless otherwise agreed. We will give you reasonable notice of any change to fees.

7. Cancellation

There are no lock-in contracts. You may cancel at any time by contacting us at bk@reviewflow.co.nz. On cancellation, we will stop sending requests and accessing your Google Business Profile, and we will handle your data as set out in our Privacy Policy.

8. Data and Privacy

Our handling of personal information, including data we access through the Google Business Profile API, is described in our Privacy Policy. By accepting these Terms you acknowledge the Privacy Policy.

9. Limitation of Liability

ReviewFlow NZ provides its service with reasonable care and skill. To the extent permitted by law, we are not liable for indirect or consequential loss, or for outcomes outside our control, including changes to Google's platform or policies, the content of reviews left by your customers, or the review or ranking decisions made by Google. Nothing in these Terms limits any rights you have under the Consumer Guarantees Act 1993 or other applicable New Zealand law that cannot be excluded.

10. Changes to These Terms

We may update these Terms from time to time. When we do, we will update the "last updated" date at the top of this page. Continued use of ReviewFlow NZ after any change constitutes acceptance of the updated Terms.

11. Governing Law

These Terms are governed by the laws of New Zealand, and any dispute will be subject to the jurisdiction of the New Zealand courts.
